Willow Wood Lottery Terms & Conditions

The Lottery is operated by Willow Wood Hospice Promotions Ltd, company number 2913564, and is licensed with the Gambling Commission under The Gambling Act 2005. Willow Wood Hospice Promotions Ltd is a wholly owned subsidiary of Tameside & Glossop Hospice Limited, which is a registered charity, number 1029318. The purpose of the Promotions Company shall be to raise funds in order to assist and support Tameside & Glossop Hospice. All profits made will be transferred to Tameside & Glossop Hospice, with the exception of agreed residual funds, and advance player payments, that will be retained by the Trading Company to cover reinvestment and expansion costs. .The exact amount retained will be agreed by the Trading Company Board.

Upon receipt of a valid membership application, new members will be sent a welcome letter advising them of their randomly selected unique draw number created by secure computer software, and their personal membership number. The unique draw number is used in the weekly draw and the membership number is used for administrative identification. The lottery is computer based, and uses software provided by Carn Software Ltd., Carn House, 31 Academy Street, Coatbridge, ML5 3AW, who will certify that the software is truly random, in accordance with the requirements of the Gambling Commission. This equipment is based at Willow Wood Hospice. Willow Wood Close, Ashton under Lyne OL6 6SL

Accepted payment methods can be direct debit, cheque, debit card or cash .By law, we cannot accept payments by credit cards. Regular automated payment facilities can be set up by direct debit. Player’s authority is required to set up a regular automated payment using their Bank Account details. Additional credit which may accumulate from payment by bankers order, direct debit, or payroll deduction, may be allocated to provide the member with additional entries in lottery super draws. Payment must be received in advance of entry. All subscriptions received at a sum of £1.00 per week payable in advance will be entered into the weekly draw using the unique draw number. The draw will normally take place each Friday. However, if this is not possible, it will take place on the nearest practicable working day. Prize winners are generally notified by post as soon after the draw taking place, as is practicable, which will include the relevant cheque. Weekly winning numbers are published on our website www.willowwood.info.

Willow Wood Hospice collects all personal information in accordance with The General Date Protection Regulation (GDPR) and all other relevant legislation. Willow Wood Hospice cannot accept liability for the loss or delays in, or theft of any communications sent by post, email or fax, or delays in the banking system. The legal basis for processing your information is that it is necessary for the performance of a contract between Willow Wood Hospice Promotions Limited, and its agents, for you to play the weekly lottery, and be offered associated services. Your information will be retained for the duration of you membership for this purpose and in line other legal retention periods. You can see our full privacy policy on our website www.willowwood.info You have the right to correct, erase, have access to, restrict or object to our use of your information. Cancellation of membership can be carried out at anytime although those received after 5pm on a Thursday evening may not be actioned until after the weekly draw. Direct debit, cheque, debit card or cash players should contact the Hospice Lottery office by telephone or email to cancel their membership. Players who pay by a regular standing order must cancel in writing with their Bank as well as notifying us. Willow Wood Hospice Promotions Ltd cannot cancel a players’ standing order, even if requested to do so.

Where members cancel and are still in credit, we will endeavor to contact them. Subject to the member’s wishes, we will either refund the credit amount in the form of a cheque or cancel the membership once the credit has depleted. If we cannot contact the member, they will stay in the draw until all credits have depleted. Any residual monies of less than £1.00, will be treated as donations to Tameside & Glossop Hospice, 12 months after the last draw in which the player was entered. We reserve the right not to accept an application, or to cancel an existing subscription without giving reason at our absolute discretion. Any such rejection or cancellation may be reconsidered on submission of a written appeal to the Lottery Manager within 7 days. The decision of the Lottery Manager will be final.

It is the responsibility of the player to advise us of any changes to their membership details. We will take all reasonable steps to contact winners but if unable to do so, all unclaimed or returned winning cheques will be held for six months, after which time they will be treated as donations to Tameside & Glossop Hospice. If we have a gift aid declaration, then gift aid will be claimed so please ensure you notify us of any change in your tax status. .Prize cheques must be presented within 6 months of the date of issue, after which they will be treated as donations.

An instruction to be self excluded, as defined in the Gambling Act 2005, from Tameside & Glossop Hospice Lottery may be submitted in writing,by email, or telephoned through to the Lottery Office or completed via our website. Customers wishing to use this facility will not be able to rejoin the lottery for a minimum of 6 months from the date of exclusion.

The Gambling Act 2005 confirms that Willow Wood Hospice Promotions Ltd has a statutory duty to verify that members and potential members are over the age of 16, the minimum age allowed for anyone to play a lottery. It is an offence for anyone under the age of 16 to participate in a lottery. The Lottery is only open to UK residents. Willow Wood Hospice Promotions Ltd will, where necessary, carry out checks to verify this requirement, including seeking confirmation from relevant Agencies who can provide such information.

Willow Wood Hospice Promotions is a member of The Hospice Lotteries Association, which on behalf of its members makes a financial contribution towards the Responsible Gambling Trust (RGT). The Hospice Lotteries Association website www.hospicelotteries.org.uk has a page dedicated to RGT www.rigt.org.uk and also GAMCARE www.gamcare.org.uk, the leading organisation that provides practical help to problem gamblers. Further support can be found on the Gamble Aware website www.gambleaware.co.uk.

All complaints and disputes will be dealt with in accordance with our complaints policy, a copy of which is available from the Lottery Office or on our website. In the event a complaint or dispute cannot be resolved then it will be referred to arbitration.
